1. Maintenance Definitions
Maintenance type, group and reason are defined in a tiered structure. Each maintenance definition can be linked to a workshop, machine, stock item, warehouse, employee, company or cost center. Revision-tracked maintenance instructions, checklists and related images/documents can be attached to the definition.
2. Work Order Process
Every maintenance/breakdown job moves through a status ladder: pre-work safety approval, waiting, in progress, waiting for material, waiting for a contractor, post-work safety approval, and closing approval. A step cannot be skipped and going back is prevented.
3. Health and Safety Approval
For high-risk jobs, two separate safety approval gates — before and after the work — are embedded in the process flow. A work order cannot move to the next step without approval.
4. Material and Stock Integration
Maintenance material added to a work order produces a real stock movement with warehouse permissions and lot (FIFO) tracking. When a line is deleted or the work order is cancelled, the stock movement is automatically reversed. Material templates can be copied with one click when opening a work order.
5. Automatic Cost Calculation
Maintenance cost is never entered manually. The real FIFO lot cost of the material used, together with the assigned employee’s working time × hourly rate, automatically flows into the cost record.
6. Preventive Maintenance and Counter Tracking
Preventive maintenance can be triggered by date or by a machine counter (operating hours, production count, etc.). When the target threshold is crossed, the system automatically opens a work order and prevents duplicates. The next target is automatically recalculated at closing.
7. Early Warnings and Notifications
As preventive maintenance approaches, an early warning notification is sent to the relevant users before the work order opens. Material and staffing can be planned well ahead of time.
8. Request-to-Work-Order Bridge
A breakdown/support request opened from the shop floor can be converted into a maintenance work order in a single action. When the work order closes, the linked request closes automatically too.
9. Reporting
Work order, cost and staff-based reports let you analyze how often each machine breaks down, how much each maintenance job costs, and how much time employees spend on maintenance work.
10. Machine Integration and Automatic Downtime Detection
Production data is automatically collected from PLC/Modbus/RS232-connected machines. When production stops, the system detects it and automatically opens a downtime record; machine counters (operating hours, production count) are updated with this real data, and preventive maintenance is triggered accordingly.
